Stronger Security & Governance

API Key Policy

We’ve rolled out several major enhancements to help organizations stay compliant and maintain tighter boundaries around access. (available on Enterprise tiers)

Highlights:

  • API Key Expiration Policies let you set automatic expiration windows for API keys, improving security without extra manual effort.
  • Data Retention Policies now allow automated purging of old or sensitive data to match your compliance requirements.
  • IP Whitelisting gives your team complete control over where Kolena can be accessed from: office networks, VPNs, and nowhere else.
  • Access Audit Logging provides full visibility into logins, API calls, and user actions.

These changes make it easier to enforce internal security policies while keeping your environment clean, controlled, and review-ready.

Simplified Collaboration & Access Control

Enterprises can now organize work more effectively with clearer boundaries and more granular permissions.

Seperate Workspaces with background

Kolena now supports Separate Workspaces, allowing you to isolate environments such as Production, Sandbox, or departments. This ensures teams only see what they’re meant to, improving focus and security.. To help manage permissions at scale, we’ve also launched Teams (User Groups), making it simple to control access for entire departments at once rather than individual users.

What’s new:

  • Separate Workspaces for isolating data, agents, and workflows across teams or environments
  • Teams (User Groups) for easier access management (available to Enterprise tier)
  • Agent-Level Permissions to restrict or grant access to individual automations with precision

Better Workflow Transparency & Quality Control

To support teams who update prompts frequently or run compliance-sensitive workflows, we introduced tools that make it easier to understand, verify, and revert changes.

With Prompt Version History, you can now browse, compare, and instantly revert to earlier versions of any prompt giving teams the freedom to iterate while maintaining a clear trail of how instructions have evolved over time. This makes it easier to understand what changed, why it changed, and how those updates impact downstream results.

Inline Citations, enhance trust and transparency. Every extracted value now includes a direct reference to the original source text, making verification far quicker and reducing the time teams spend double-checking accuracy.

These allow for:

  • Clear visibility into how prompts evolve over time with true version accountability
  • Faster, more confident validation of outputs with direct source references that cut review time dramatically

Improved Media & Global Capabilities

We’ve also enhanced Kolena’s ability to support audio-heavy workflows and international teams.

New features:

  • Synchronized Audio Transcriptions let you jump to exact audio moments by clicking transcript text, ideal for reviewing meetings, interviews, or due-diligence calls
  • Expanded Language Support, making it easier for global teams to operate in more languages for both inputs and outputs

Some features highlighted above, including Advanced Security Controls, Workspaces, and Agent-Level Permissions, are available only on Kolena’s Enterprise tier.
